Adding Users in User Security
1. When you first enter the User Security option a Select A User window will display with the following options:
- EXIT – Select EXIT to exit the User Security option and return to the User menu.
- ADD A USER – Select ADD A USER to add a user.
- PRINT LIST – Select PRINT LIST to print a security list of user security rights.
- A list of users currently defined in the system with the following information:
- User ID
- User name
- Total security options assigned to the user.
Note: The system is delivered with the user ID of SUPER. This is the system supervisor user profile and cannot be changed. The Supervisor has full access to all aspects of the system. It is used by the Net•Yield support department to access your system.
Note: When adding a new user the username cannot have any spaces or special characters
Select ADD A USER.
2. At the User field, assign a five-character ID code for the user.
3. Enter the user's name in the Name field.
4. In the Profile Like Another field:
- Enter Y (Y = Yes) to use an existing user security profile to create the new user security profile. A Select A User to Profile window will display a list of other users. Scroll to the user whose profile is to be replicated by scrolling to the user and press Enter to select. The user options will also be defaulted based on the user options for the user selected. Proceed to Step #5.
- Enter N (N = No) to create the user profile from a pre-defined user role or to create it manually.
If you are creating a user profile from a pre-defined user role or creating one manually, a Select A Role window will display with the following options:
- EXIT – Select EXIT to proceed to the Security Rights window (see below).
- ALL – Select ALL to assign all roles to the new user.
- A list of the predefined roles within the system.
- Admin – Assigns the system administration security options to the user
- AP – Assigns the accounts payables clerk security options to the user
- AR – Assigns the accounts receivables clerk security options to the user
- GL – Assigns the general ledger security options to the user
- Buyer – Assigns the purchasing security options to the user
- IT – Assigns the system maintenance security options to the user
- OPS – Assigns the shipping, receiving, and inventory control security options to the user
- Sales – Assigns the sales order and sales reporting security options to the user

Assign the various roles of the user will play in your system by scrolling to the appropriate selection(s) and pressing Enter. An asterisk (*) will appear confirming your selection. Press Enter to continue.
Refer to User Settings for more information about roles.
5. The Security Rights window will display the following security privileges for the user, sorted by the assigned privileges, then the unassigned privileges:
- Y = the security privilege is assigned to the user; N = the security privilege is not assigned to the user.
- Security Category – The main system function for the security privilege.
- Function Description – A brief description for the security level and what it controls.
To change a security privilege, scroll to the security category and function description line and press Enter to change or toggle security assignment. Press F9 for a brief listing of system functions controlled by the security privilege. Refer to User Security Privileges for a more detailed definition of rights.
Move through the list of security privileges; when the appropriate rights have been assigned to the user, press F10 to continue.
6. Command options will appear:
- Change – Select Change to return to the Security Rights window to make changes to the user's security rights.
- Update – Select Update to save the user profile.
- Exit – Select Exit to exit without saving the user's security profile and return to the User field.
Select Update when the appropriate security rights have been assigned to the user.
Important: Your changes will not be saved unless you select Update.
